Cancellation Policies

Extreme Weather (Fire) Cancellation Policy

Castlemaine and Maldon are located within the CFA’s North Central District.

The event has been scheduled for the second weekend in November in an attempt to avoid the high-risk fire danger period for this district however the event may be cancelled or postponed if it is deemed unsafe to conduct the event due to extreme weather conditions, most notably risk of fire.

The following table outlines the event’s Extreme Weather (Fire) Cancellation policy based on the CFA’s declared Fire Danger Ratings (FDR) for the North Central District on event day:

* If the FDR is ‘Severe’ but not a Total Fire Ban a diesel locomotive will substitute the steam locomotive therefore enabling the event to proceed subject to discussions with the CFA, VGR, DEPI and PV.

This policy is also consistent with the conditions of the event's DEPI permit which states that "All State Forests are closed to the public on days of Code Red (catastrophic) Fire Danger. Events must be cancelled in the event that a Code Red (catastrophic) Fire Danger Rating has been declared".  

Notifications regarding event postponement, cancellation or course changes will be posted on the event website and facebook page. Unless otherwise stated on the event website and facebook page it should be assumed that the event is proceeding as planned.

If the event is unable to proceed on the advertised date due to the Extreme Weather (Fire) Cancellation policy detailed above, the following will apply:

  • Cranked Up Pty Ltd will endeavour to reschedule the event to another date in 2016 with all entries/train tickets carrying over to the new date. If an entrant is unable to attend the new 2016 date no refunds will be made;
  • If the event cannot be rescheduled in 2016 for any reason Cranked Up Pty Ltd will offer all participants an entry credit to the 2017 edition of the event.

Extreme Weather (Flooding) Cancellation Policy

The event has been scheduled in November in an attempt to avoid the high rainfall periods for this district however the event may be re-routed, cancelled or postponed if it is deemed unsafe to conduct the event due to the risk of flooding, or existing flooding, of the Muckleford Creek.

Notifications regarding event postponement, cancellation or course changes will be posted on the event website and facebook page. Unless otherwise stated on the event website and facebook page it should be assumed that the event is proceeding as planned.

If the event is unable to proceed on the advertised date due to the Extreme Weather (Flooding) Cancellation policy detailed above, the following will apply:

  • Cranked Up Pty Ltd will endeavour to reschedule the event to another date in 2016 with all entries/train tickets carrying over to the new date. If an entrant is unable to attend the new 2016 date no refunds will be made;
  • If the event cannot be rescheduled for 2016 for any reason Cranked Up Pty Ltd will offer all participants an entry credit to the 2017 edition of the event.

Severe Weather Cancellation Policy

The event will proceed if it is cold, wet and windy unless it is deemed unsafe to do so due to conditions posing a risk to participant safety.

Conditions may include, but not be limited to:

  • Severe Thunderstorm (forecast or existing)
  • Torrential Rain (forecast or existing)
  • Severe Fog (visibility less than 50m)
  • Winds >40km/hr (forecast or existing) 

Notifications regarding event postponement or cancellation will be posted as soon as practicable on the event website and facebook page. Unless otherwise stated on the event website and facebook page it should be assumed that the event is proceeding as planned.

  • Cranked Up Pty Ltd will endeavour to reschedule the event to another date in 2016 with all entries/train tickets carrying over to the new date. If an entrant is unable to attend the new 2016 date no refunds will be made;
    If the event cannot be rescheduled for 2016 for any reason Cranked Up Pty Ltd will offer all participants an entry credit to the 2017 edition of the event.
